I think this should be handled as a discussion by the GB members. Then,
writing the actual acceptance could be handled by on person, as a draft.
This draft could be posted to the GB, for review, and possibly presented to
an attorney, if there were any concerns related to matters of legality.
Next, I would see one person writing and mailing the formal acceptance of
the donation. This person could possibly be the person who volunteered or
was assigned to draft the acceptance. I have copied my opinion on what
should be included in the donation acceptance letter (this opinion is from
a recent post):

        I would suggest that the Guild express to the company, in writing,
        that we are pleased to have received their offer to donate the server
        hardware/software and cash. This correspondance should include that
        we are willing to accept the donation and list the terms with which the

        something like this (these are not finessed, just something to
convey my ideas):

Yes.

I don't see how the membership should need to be asked to vote on whether
or not we accept a donation from a company, provided we 1) follow a process
similar to the one I outlined in an earlier post (let me know if you want
to see a copy of this again) and 2) know that the agreements we make in our
acceptance of this donation are in accordance with our by-laws, policies
and membeship's _general_ wishes.
